Privacy Policy

This policy explains how CoachCare Education Sdn. Bhd. ("CoachCare", "we", "us"), operator of the website coachcare.pro and the CoachCare Academy learning centre in Kuala Lumpur, handles personal data. We process personal data in accordance with the Malaysian Personal Data Protection Act 2010 ("PDPA") and this notice is issued to satisfy its notice-and-choice principle.

1. The data we collect

Depending on how you interact with us, we may collect:

• Enquiry data — name, email address, phone number and the content of your message when you submit our contact form, email us or message us on WhatsApp.
• Enrolment data — identification details, billing address, emergency contact, and for learners under 18, a parent or guardian's details and consent.
• Academic data — placement results, attendance, assessment scores and coach notes, kept to run your programme and report your progress.
• Technical data — limited cookie and usage information as described in our Cookie Policy.

2. Why we process it

We use personal data to respond to enquiries, place learners at the correct level, deliver and administer courses, issue certificates and invoices, meet legal and accounting obligations, and — only where you have not opted out — tell you about course intakes and academy news. We do not sell personal data, and we do not use it for automated decision-making with legal effect.

3. Who can see it

Access is limited to CoachCare staff who need it to do their jobs. We share data with third parties only in these cases: payment processors handling your fees, government or regulatory bodies where the law requires it, and professional advisers under confidentiality obligations. Where a service provider stores data outside Malaysia, we require protections consistent with the PDPA.

4. How long we keep it

Enquiry data that does not lead to enrolment is deleted within twelve months. Enrolment and academic records are retained for seven years after your last course, matching Malaysian tax and record-keeping requirements, then securely destroyed.

5. Your rights

Under the PDPA you may request access to your personal data, ask us to correct it, withdraw consent to marketing at any time, and limit processing in certain circumstances. Write to [email protected] with the subject line "Data Request" and we will respond within 21 days. We may charge the modest fee permitted by the PDPA for access requests.

6. Children

Our kids' programmes necessarily involve children's data. We collect it only from a parent or guardian, use it solely for teaching and safety purposes, and never use children's data for marketing.

7. Security

Records are stored on access-controlled systems, paper files are kept in locked storage at the centre, and staff are bound by confidentiality terms in their contracts. No system is invulnerable, but we review our safeguards each year.
